[Nolose-outreach] Getting moving on outreach

Hey dahlink.

Good questions!

1) We don't have an Outreach mtg. scheduled, shall we set one? 
Unfortunately, next week is totally booked for me. Are you guys 
available to meet in the eve. some night the week after? This week is 
out, since there's a NOLOSE Board mtg. and Programming also met, which 
is a grueling 2-mtg. week for some.

Okay, in terms of design and ads and mailing party timeline, here's what 
I proposed to Board folks last week (wanted to make sure the finance and 
financial assistance folks would be able to figure pricing out by late 
April in order for us to get registration materials going and out the 
door in May).

I'm good w/doing the card design (have pieced out a chunk of time this 
weekend to get started). We'll be getting Programming updates at our 
Board mtg. this thursday, so can confirm theme first.

That said, how does the timeline below look to you guys?

(oh, and I'll check in w/Robin soon. I didn't get the impression she had 
her heart set on the outreach vol. stuff at all, and I think was just 
willing to step in for more if need be; but it really does not hurt to 
check... thanks for the heads up, sweets.)

Here's the proposed timeline I sent to the Board:

/Hey, folks--

In trying to figure out when to have a volunteer host our mailing party 
(yay!), it occurs to me that a slew of things need to happen before that 
mailing, and I wanted to make sure everyone was on the same page in 
terms of timeline.

My guess is that we can put this into place for a May 31 mailing party. 
But if you think doing the mailing 3 months ahead isn't too late (our 
call for proposals will be going out first), June might give us more 
leeway. The past couple of conferences, I think it was 4 months in advance.

1) What do you think is more strategic for our big mailing, May 31 or 
mid-June?
2) Do you guys think the following is feasible for this timeframe? Let 
me know. I can do my part, but want to make sure everyone else is on board.

--FA and registration fees (sliding scale, deadlines, etc.). *Finance 
folks: estimated date of figuring out FA app and fee structure for us to 
include in reg. materials? *That's the stuff I'll need in order to crank 
out:

--Online registration and print registration forms. (Also, Joe will be 
compiling/writing the cover letter.)

--Since my work situation is now less frenzied and dire (hallelujah on 
finding a tenant), I'm taking a stab at the card design. This will also 
give us more time and leeway to shop around for someone to take care of 
print ads and program layout, which happen later--and so we can shop 
that out for $300 instead of $500. I'm aiming to have this into the 
printer by end of April, possibly sooner (depending), and can start next 
week if our theme is nailed down. It's about 2 weeks or so to print and 
ship. And the shipping guru person distributing the cards around will 
then need to ship 800 or so of these to whoever is doing the Big Mailing 
Party.

So, if Finance is able to figure our pricing and FA requirements in the 
next 4 weeks, I think we can give a thumbs up on a May 31 mailing party. 
Otherwise, later.
